Creating an alternate Exchange profile

Introduction

In order to fully manage secondary Exchange accounts (such as a resource account or group account), it may be necessary to create an alternate Exchange profile which is separate from your default profile. Follow the steps below to create a new profile for Outlook (Windows) or Entourage (Mac OS).

Creating a new profile in Outlook to manage a secondary account

These instructions should work whether you use Outlook 2003 or Outlook 2007.

  1. Ensure you are the owner of the secondary account, or at least have full rights access for it.
  2. In Windows, open the Mail Control Panel.
  3. In the Mail Setup - Outlook window, click Show Profiles...
  4. Click the Add... button.
  5. In the Profile Name: field, supply a descriptive name for the account you will manage, then click OK. In the Add New E-mail Account window, click the Manually configure server settings or additional server types checkbox, then click Next.
  6. Click the Microsoft Exchange radio button, then click Next.
  7. In the Microsoft Exchange server: field, type mailbox.exchange.upenn.edu
  8. In the User Name: field, enter the resource or group account name you are managing, then click Next.
  9. When prompted to authenticate, enter your username in the User name: field, and also ensure you are logging into the KITE domain. Supply your KITE domain password (your Exchange password) in the Password: field, then click OK.
  10. Click Finish.
  11. In the Mail profile selection window, ensure the Prompt for a profile to be used radio button is selected, then click OK. (You can open the Mail Control Panel later, select your default profile, and click the Always use this profile radio button if you do not want to be bothered with a dialog box when launching Outlook).
  12. Launch Outlook, select the profile name you just created from the dropdown list, then click OK.
  13. Authenticate with your KITE (Exchange) credentials.
  14. To permit others to be able to view and/or modify the calendar information for this account, click Calendar in the left tab, then right click the Calendar icon and select Properties.
  15. Click the Permissions tab.
  16. Click the Add... button
  17. From the Add Users button, find the account(s) to which you would like to permit access, then click Add.
  18. Select the account to modify, and then select the level of access in the Permissions area. You can select pre-defined permissions by making a selection in the Permission level: drop-down, or customize your own access by making appropriate selections in the Read, Write, Delete items, and Other areas for that particular account.
  19. Click OK when you are finished setting access to this account.
  20. Now the account(s) you permitted access can view and/or modify the calendar information on this account. For example, if this were a resource account for a conference room, the individual can now view (or modify if you granted access) this account's calendar by selecting it from the Global Address List.

Creating a new profile in Entourage 2004 to manage a secondary account

  1. Ensure you are the owner of the secondary account, or at least have full rights access for it.
  2. From Mac OS, launch Entourage 2004.
  3. From the Entourage menu, choose Switch Identity...
  4. In the Enourage window, click New... to create a new identity.
  5. In the Identity name: field, supply a descriptive name for the account you will manage, then click OK.
  6. In the Entourage Setup Assistant window, select the I want to start using Entourage without importing anything window, then click the right arrow.
  7. In the E-mail address: field, enter accountname@exchange.upenn.edu where accountname is the name of the resource or group account which you are managing.
  8. Click the My account is on an Exchange server checkbox.
  9. Supply your KITE (Exchange) credentials in the appropriate fields: be sure to enter KITE in the Domain: field. Click the right arrow.
  10. Ignore any warnings about failed automatic configuration, then click the right arrow.
  11. In the Exchange server: field, enter outlook.exchange.upenn.edu
  12. Optionally enter directory.upenn.edu in the LDAP server: field.
  13. Click the Use SSL for these servers checkbox.
  14. Skip the option to verify account settings, and click the right arrow.
  15. In the Account name: field, enter a descriptive name for the account you are managing, then click Finish.
  16. Click the Calendar icon in the left pane. Look in the left pane for a network Calendar icon with the same descriptive name you used in the preceding step. Wait for Entourage to synchronize and update your calendaring information with the Exchange server.
  17. Control-click the network Calendar icon in the left pane, then choose Folder Properties.
  18. Click the Permissions tab.
  19. Click Add User...
  20. Click Advanced... Enter KITE in the Domain: field and enter the account name you wish to grant access in the Account ID: field. Important: Due to a peculiar bug with Entourage, you must use the Advanced... dialog box to enter account names to which you would like to grant access. Attempting to do so from the previous Select User screen will not work.
  21. Select the account to modify, and then select the level of access in the Permissions area. You can select pre-defined permissions by making a selection in the Permission level: drop-down, or customize your own access by making appropriate checkbox or radio button selections (Create Items, Read Items, Edit Items, Delete Items, etc.) for that particular account.
  22. Click OK when you are finished setting access to this account.
  23. Now the account(s) you permitted access can view and/or modify the calendar information on this account. For example, if this were a resource account for a conference room, the individual can now view (or modify if you granted access) this account's calendar by selecting it from the Global Address List.
  24. To return to your default identity (your regular e-mail and calendar, not the resource or group account), use the Switch Identity... command in the Entourage menu, then select your default identity.
