Creating email templates in Exchange

When you use Outlook, you can create a template or form to use when you send e-mail messages. If you create a template or a form, the e-mail messages that you send have the same format.

Creating email templates using Outlook 2003

  1. On the Tools menu, click Options, and then click the Mail Format tab.
a. Clear the Use Microsoft Office Word 2003 to edit e-mail messages check box.
b. Click Apply, and then click OK.
  1. On the File menu, point to New, and then click Mail Message.
  2. Type the recipient, subject, and message that you want.
  3. On the File menu, click Save As.
  4. In the Save As Type list, click Outlook Template (*.oft). The file name is automatically the subject line of your message.
  5. Click Save.

Using email templates to create email in Outlook 2003

  1. On the File menu, point to New, and then click Choose Form.
  2. In the Look In list, click User Templates in File System.
  3. Click your template in the list, and then click Open.

Creating email templates using Outlook 2007

  1. On the File menu, point to New, and then click Mail Message.
  2. Type the recipient, subject, and message that you want.
  3. On the File menu, click Save As.
  4. In the Save As Type list, click Outlook Template (*.oft). The file name is automatically the subject line of your message.
  5. Click Save.

Using email templates to create email in Outlook 2007

  1. On the File menu, point to New, and then click Choose Form.
  2. In the Look In list, click User Templates in File System.
  3. Click your template in the list, and then click Open.
