Definition: Exchange Delegation

An Exchange account, such as that of a manager or a "group" account, may be configured to allow one or more other user accounts to act as delegates to moderate and reply to incoming email and administer calendaring functions for that managed account. Furthermore, the managed account may also designate that replies to delegate-originated messages or meeting requests go to the managed account and delegates or only to those delegates.

The managed account must select from the Global Address List who should have delegate rights to the account and what level of permissions those delegates have. The actual functions of the delegates is performed without creating a new session with the Outlook (2007) client since, once the client is correctly configured, the folders and calendars are readily available to the delegates.

Both managed account and delegate(s) must use the same version of Outlook.

Configuring Delegate Access (Delegator)

Folder Visible permissions

  1. Right click the mailbox folder in the Folder List of Outlook (2007); Mailbox - "account name"
  2. Select Change Sharing Permissions in drop down menu
  3. In "account name" Mailbox Properties dialog box click Add.. button and type in delegate name or search the Global Address List.
  4. Click Add-> button. Additional delegates may be added at this time.
  5. Click OK to close Add Users dialog box
  6. Make sure that Folder Visible check box is checked and click OK to close Properties dialog box.

Designating Delegates

  1. On the Tools menu select Options.
  2. In the Options dialog box click on the Delegates tab and click Add...
  3. Type in the username you wish to designate as the delegate, or search for the name in the Global Address List.
  4. Select the user and click Add.
  5. Repeat previous step for any additional delegates
  6. Click OK to close the Add Users dialog box.
  7. In the Delegate Permissions dialog box select the appropriate permissions and click OK

Note: If you have multiple delegates you can customize permissions for each delegate.

Configuring Client (Delegate)

The process of configuring the delegate client is essentially adding the resources of the managed client, namely the mailbox and calendar folders, to the delegate client.

  1. On the tools menu select Account Settings
  2. Select the Exchange account (among other accounts that you may have configured) and click the Change... button
  3. In the Change E-mail Account dialog box click More Settings... button and then Advanced tab.
  4. Click Add.. button and enter the managed account name in the Add mailbox: field. There is no search function available for this. You must know the name of the account.
  5. Click OK to close the More Settings dialog box and click Next> to close Change E-mail Account dialog box
  6. Click Finish and then Close (Account Settings dialog) to complete configuration for delegate configuration.
