IMAP to Exchange

Moving IMAP email to Microsoft Exchange 2007 email on a Windows or a Mac OS system requires several steps. This set of instructions is for a 'pure' IMAP setup - one where the user only retains mail on the server and not on a local system. These instructions can also be followed for a 'blended' IMAP setup if all mail that the user wishes to be transferred has been uploaded to the POBOX Classic server.
These instructions were written on a laptop running Windows Vista Business and Outlook 2007, a desktop running Windows XP Professional Service Pack 2 and Outlook 2007, and a laptop running Mac OS 10.4.9 and Entourage 2004.

Important Notes
- These instructions make the assumption that the client wishes to bring over all email currently on the POBOX Classic server to the ISC Exchange server.
- These instructions make the assumption that Outlook 2007 or Entourage 2004 have already been installed, updated, and configured for ISC Exchange.
Synchronize & Compact the IMAP Email
- Make sure that the client's email is fully synchronized with the POBOX Classic server.
- Compact all folders.
- Quit the email client.
At this point, move on to Method One (preferred) or Method Two below.
Method One
This method involves configuring either Outlook 2007 or Entourage 2004 for both the POBOX Classic and the ISC Exchange accounts. This is the preferred of the two methods and should be used in most cases.
Configure Outlook 2007 or Entourage 2004 For IMAP
Windows
- Launch Outlook 2007 and configure the user's account for IMAP mail (see instructions for Outlook 2007 here).
- Verify that the user's account is displaying all appropriate IMAP folders.
Mac OS
- Launch Entourage 2004 (Mac OS 10.3.x/10.4.x) and configure the user's account for IMAP mail (see instructions for Entourage 2004 here).
- Verify that the user's account is displaying all appropriate IMAP folders.
Transfer Mail Within Outlook 2007 or Entourage 2004
- Open Outlook 2007 or Entourage 2004.
- Expand both the POBOX Classic and the ISC Exchange folders.
- For folders that are "blessed" by Exchange (such as Inbox, Sent, and Drafts), either manually copy or manually move the contents of the IMAP folders to their Exchange equivalents. Note that this transfer process may take a substantial amount of time, especially for users with significant amounts of email.

Method Two
This method involves using Windows Mail as an intermediary between the POBOX Classic and the ISC Exchange accounts. It requires significantly more steps than method one, but does automate the generation of mail folders within the ISC Exchange account. This method is currently Windows Vista-only.
Configure Windows Mail For IMAP
- Launch Windows Mail (Windows Vista) and configure the user's account for IMAP mail (see instructions for Windows Mail here).
- Verify that the user's account is displaying all appropriate folders.
Export Mail from Windows Mail to Outlook 2007
- Open Windows Mail, and select the relevant IMAP mail account.
- From the File menu select Export > Messages...
- In the Select Program dialog box, choose Microsoft Exchange.
- Click the Next button. An Export Messages dialog box will inform that you will be exporting messages from Outlook Express or Windows Mail to Microsoft Outlook or Microsoft Exchange.
- Click the OK button. A Choose Profile dialog box will appear.
- Choose the appropriate profile from the Profile Name: field and click the OK button.
- The Connect to Exchange dialog box will appear.
- Enter the appropriate username and password and log on to the Exchange server. The Export Messages dialog box will appear.
- Select the Selected folders: radio button and select the individual folders you wish to import, making sure to select the ones from the IMAP server (not from the local Windows Mail folders).
- Click the OK button. An Export Messages dialog box will appear as the email is copied to the Exchange server.
- When the copy is completed, an Export Complete dialog will appear.
- Click the Finish button and close Windows Mail.
- Once exported, the messages will appear in Outlook 2007 - if they were in the inbox in Windows Mail, they'll be added to the Outlook 2007 inbox; if they were in a folder in Windows Mail, a folder of the same name will be created in Outlook 2007. Note that this transfer process may take a substantial amount of time, especially for users with significant amounts of email.
