Importing And Creating Email Rules In Exchange

Note: this document is in very early development. It is in continuous revision and is not yet considered complete.

There are a few ways to migrate email rules or filters into Exchange, but most rules or filters from most email clients have to be recreated.

What Does Import

Windows

From Eudora

From Outlook (running IMAP/POP)

From Thunderbird

No rules import is available from Thunderbird into Outlook 2003 or Outlook 2007.

Mac OS

From Apple Mail

In ISC testing, Entourage 2004 successfully imported filters from a Mail 2.1.1 IMAP account and created Mail (POP) rules from them, which function as client-side rules. See the Apple Mail to Exchange document for the importation procedure.

From Eudora

In ISC testing, Entourage 2004 successfully imported filters from a Eudora 6.2.5 POP account and created Mail (POP) rules from them, which function as client-side rules. See the Eudora_to_Exchange document for the importation procedure.

From Thunderbird

No rules import is available from Thunderbird into Entourage 2004.

Modifying Imported Rules

Imported email rules or filters will usually have to be modified in order to work well within the Exchange environment. They may need to have the folders they sort to changed and may be dependent on the previous (non-Exchange) email address.

Creating New Rules

Creating new rules in the Exchange environment involves understanding several important principles.

  1. There are server-side rules and client-side rules in an Exchange environment. Server-side rules will work with any client (including Outlook Web Access and Outlook Web Access Light) regardless of where they were created whereas client-side rules only work with the actual client being used.
  2. Only Outlook 2007 and Outlook 2003 can create, modify, and delete server-side rules. Entourage 2004, Outlook Web Access, and Outlook Web Access Light can not create, modify, or delete server-side rules, but do accept rules created by Outlook 2007 or Outlook 2003. Note that this means that Mac OS and web-exclusive users of Exchange have no method to create, modify, or delete server-side rules. However, a user who is exclusively using Entourage 2004 can configure Entourage 2004's client-side rules to duplicate much of the functionality of Exchange's server-side rules.
    • If you are working in a cross-platform environment, with both Entourage 2004 and Outlook, be sure to create your rules in Outlook, not in Entourage 2004. The rules will then process email on the server, and will be effective when you are using Entourage.
  3. Outlook 2007, Outlook 2003, and Entourage 2004 can all create, modify, and delete client-side rules. Outlook Web Access and Outlook Web Access Light can not create, modify, or delete client-side rules.
