Moving POBOX Classic IMAP or IMAP email to Microsoft Exchange 2007 email for users already using the Outlook 2003 client is fairly simple. If your POBOX Classic configuration includes local folders storing mail, these instructions assume that they are currently being stored in Outlook 2003 and that you would like to keep them where they are after migrating to Exchange.

Prepare Outlook 2003 For Migration

Migrating POBOX Classic mail to ISC Exchange involves configuring Outlook 2003 for the ISC Exchange account, and then removing the POBOX Classic account after successfully migrating. These instructions assume that Outlook 2003 has already been configured for POBOX Classic IMAP or POP.

Review POBOX Classic IMAP Or POP

  1. Launch Outlook 2003 and review the user's account setup for IMAP or POP mail. Take note of the folder structure, what is stored locally vs. what is on the POBOX Classic server (see instructions for Configuring Outlook 2003 for POBOX Classic IMAP or POP).
  2. "Clean up" the mail as appropriate, because it is quicker and easier to move email and email folders that are already organized and streamlined.
  3. Close Outlook.

Adding The ISC Exchange Account

Because Outlook 2003 is already configured for POBOX Classic, the ISC Exchange configuration must occur through Control Panel accessed through the Windows Start menu (it cannot be done within Outlook 2003). With Outlook 2003, this step must also be done while on campus.

  1. Open Control Panel.
  2. In the User Accounts category, select Mail. The Mail Setup - Outlook screen will appear.
  3. Click the E-mail Accounts... button. The E-mail Accounts screen will appear.
  4. Ensure that the Add a new email account radio button is selected.
  5. Click the Next button. The Server Type screen will appear.
  6. Ensure that the Microsoft Exchange Server radio button is selected.
  7. Click the Next button. The Exchange Server Settings screen will appear.
  8. In the Microsoft Exchange Server: field, enter mailbox.exchange.upenn.edu
  9. Ensure that the Use Cached Exchange Mode checkbox is not selected.
  10. In the User Name: field, enter your user name.
  11. Click the Check Name button. The Connect to mailbox.exchange.upenn.edu dialog will open.
  12. In the User name: field, enter kite\username
  13. In the Password: field, enter your email password.
  14. Click the OK button. You will be returned to the Exchange Server Settings screen.
  15. Your username should now appear as your full name listed in your Exchange account.
  16. Click the Next button. A dialog will inform you that mail will be delivered to the existing personal folder.
  17. Click the Yes button. The Congratulations screen will appear.
  18. Click the Finish button. The Mail Setup - Outlook screen will appear.
  19. Click the Close button.

Transfer Mail Within Outlook 2003

  1. Open Outlook 2003.
  2. When Outlook connects to the server it will prompt you for your username and password at the MAILBOX.exchange.upenn.edu dialog box.
  3. In the User name: field, enter kite\username
  4. In the Password: field, enter your email password.
  5. Click the OK button. The Outlook Inbox will begin to load.
  6. You may see a Junk E-mail Options... dialog when you log in to Outlook 2003 with Exchange for the first time. Click the Close button to dismiss this dialog.
  7. For the default folders that are created by Outlook (such as Inbox, Sent, and Drafts, etc.), either manually copy or manually move the contents of the POBOX Classic folders to their Exchange equivalents. Note that this transfer process may take a substantial amount of time, especially for users with significant amounts of email.
  8. For IMAP or POP folders that are not automatically created by Outlook (i.e., folders you have created), either manually copy or manually move the IMAP or POP folders to Exchange. Note that this transfer process may take a substantial amount of time, especially for users with significant amounts of email. Note also that if you simply drag and drop the folders you will be moving them from one account to the other, not copying them. If you wish to copy a folder, right-click it and select Copy and then the location you wish it to be copied to.
  9. After all the mail is successfully migrated, send a series of test messages to and from the account to verify that that routing is working appropriately and that mail is being stored in desired folders.

Remove POBOX Classic Account from Outlook 2003

Remove the POBOX Classic account from Outlook through the Mail control panel.

  1. Open Control Panel.
  2. In the User Accounts category, select Mail. The Mail Setup - Outlook screen will appear.
  3. Click the E-mail Accounts... button. The E-mail Accounts screen will appear.
  4. Ensure that the View or change exist email accounts radio button is selected.
  5. Click the Next button. The MAILBOX.exchange.upenn.edu dialog box will appear.
  6. In the User name: field, enter kite\username
  7. In the Password: field, enter your email password.
  8. Click the OK button.
  9. Select the POBOX Classic account from the list, and click the Remove button. The Account Manager dialog will appear.
  10. Click the Yes button. You will be returned to the E-mail Accounts screen.
  11. Click the Finish button. You will be returned to the Mail Setup - Outlook screen.
  12. Click the Close button.
