Moving POBOX Classic IMAP or POP email to Microsoft Exchange 2007 email is fairly simple. If your POBOX Classic configuration includes local folders storing mail, these instructions assume that they are currently being stored in Outlook 2007 and that you would like to keep them where they are after migrating to Exchange.

Prepare Outlook 2007 For Migration

Migrating POBOX Classic mail to ISC Exchange involves configuring Outlook 2007 for the ISC Exchange account, and then removing the POBOX Classic account after successfully migrating. These instructions assume that Outlook 2007 has already been configured and is being used for POBOX Classic IMAP or POP.

Review POBOX Classic IMAP Or POP

  1. Launch Outlook 2007 and review the user's account setup for IMAP or POP mail. Take note of the folder structure, including what is stored locally vs. what is on the POBOX Classic server (see instructions for Configuring Outlook 2007 for POBOX Classic IMAP or POP).
  2. "Clean up" the mail as appropriate, because it is quicker and easier to move email and email folders that are already organized and streamlined.
  3. Close Outlook.

Adding The ISC Exchange Account

In this case, because Outlook 2007 is already configured for POBOX Classic, the ISC Exchange configuration must occur through Control Panel accessed through the Windows Start menu (it cannot be done within Outlook 2007).

  1. Open Control Panel.
  2. In the User Accounts category, select Mail. The Mail Setup - Outlook screen will appear.
  3. Click the E-mail Accounts... button. The E-mail Accounts screen will appear.
  4. Click the New button to add a new account. The Choose E-mail Service screen will appear.
  5. Select the MS Exchange, POP3, IMAP, or HTTP radio button, then click the Next button. The Auto Account Setup Settings screen will appear.
  6. In the Your Name: field, enter your name as you wish it appear on outgoing messages.
  7. In the E-mail Address: field, enter your full Exchange email address, e.g. username@exchange.upenn.edu
  8. In the Password: field, enter your email password.
  9. In the Retype Password: field, enter your email password again.
  10. Click the Next button. The next screen is Online search for your server settings...
    • When Outlook connects to the server for the first time it will prompt you for your username and password at the autodiscover.exchange.upenn.edu dialog box. In the User name: field, enter kite\username
  11. In the Password: field, enter your email password.
  12. Click the OK button. You will be returned to the Online search for your server settings screen which will change to the Congratulations screen.
  13. Click the Finish button. A dialog will appear stating the you have changed your mail delivery location.
  14. Click the OK button. You will be returned to the E-mail Accounts screen.
  15. Click the Close button. You will be returned to the Mail Setup - Outlook screen.
  16. Click the Close button.

Transfer Mail Within Outlook 2007

  1. Open Outlook 2007.
  2. When Outlook connects to the server it will prompt you for your username and password at the mail.exchange.upenn.edu dialog box.
    1. In the User name: field, enter kite\username
    2. In the Password: field, enter your email password.
  3. You may see three separate dialogs when you log in to Outlook 2007 with Exchange for the first time:
    1. A Preparing for first use dialog that should vanish within a few seconds.
    2. A Junk E-mail Options... dialog. Click the Close button to dismiss this dialog.
    3. A dialog informing you that Outlook is setting up a local copy of your mail that should vanish within a few minutes.
  4. Expand both the POBOX Classic and the ISC Exchange folders (the POBOX Classic folder may be labeled as Personal Folders).
  5. For the default folders that are created by Outlook (such as Inbox, Sent, and Drafts, etc.), either manually copy or manually move the contents of the POBOX Classic folders to their Exchange equivalents. Note that this transfer process may take a substantial amount of time, especially for users with significant amounts of email.
  6. For IMAP or POP folders that are not automatically created by Outlook (i.e., folders you have created), either manually copy or manually move the IMAP or POP folders to Exchange. Note that this transfer process may take a substantial amount of time, especially for users with significant amounts of email. Note also that if you simply drag and drop the folders you will be moving them from one account to the other, not copying them. If you wish to copy a folder, right-click it and select Copy and then the location you wish it to be copied to.
  7. After all the mail is successfully migrated, send a series of test messages to and from the account to verify that that routing is working appropriately and that mail is being stored in desired folders.

Remove POBOX Classic Account from Outlook 2007

Remove the POBOX Classic account from Outlook 2007 through the Email Control Panel.

  1. Open Control Panel.
  2. In the User Accounts category, select Mail. The Mail Setup - Outlook screen will appear.
  3. Click the E-mail Accounts... button. The E-mail Accounts screen will appear.
  4. Select the POBOX Classic account from the list, and click the Remove button.
  5. Click the Close button. You will be returned to the Mail Setup - Outlook screen.
  6. Click the Close button.
